Welcome to LuxRide Rental. These Terms and Conditions (“Terms”) govern your use of our vehicle and villa rental services, website, and all related services provided by LuxRide Rental (“we,” “our,” “us,” or “Company”).
By accessing our website, making a booking, or using our services, you agree to be bound by these Terms. Please read them carefully before proceeding. If you do not agree with these Terms, you must not use our services.
1. Definitions
- “Customer,” “You,” “Your” refers to the individual or entity renting our vehicles or villas
- “Services” refers to vehicle rental, villa rental, chauffeur services, and related offerings
- “Vehicle” refers to any car, van, or automobile in our fleet
- “Rental Period” refers to the duration from pickup to return of the vehicle
- “Driver” refers to the authorized person operating the vehicle
- “Chauffeur” refers to our professional, trained drivers providing chauffeur-driven services
- “Agreement” refers to the rental contract formed upon booking confirmation
2. Eligibility and Requirements
2.1 Age Requirements
- Minimum age for self-drive rentals: 21 years
- Drivers under 25 may be subject to additional fees
- Chauffeur-driven services are available to customers of all ages
2.2 License Requirements
For self-drive rentals, you must possess:
- A valid driver’s license held for at least 2 years
- For international customers: Valid passport and International Driving Permit (IDP) where applicable
- Clean driving record (excessive violations may result in rental denial)
2.3 Identification
All renters must provide:
- Valid government-issued photo identification
- Valid credit card in the renter’s name
- Proof of address (for certain bookings)
- Contact information including phone number and email address
3. Booking and Reservations
3.1 How to Book

- Zero upfront deposit for qualifying customers
- Certain bookings may require advance payment or deposit
- Deposit amounts and payment terms will be specified at booking
3.4 Payment Methods
We accept:
- Credit cards (Visa, MasterCard, American Express)
- Debit cards
- Bank transfers (for advance bookings)
- Cash payments (subject to approval)
4. Pricing and Payments
4.1 Transparent Pricing
- All prices are quoted in Sri Lankan Rupees (LKR) unless otherwise specified
- Prices include basic insurance coverage
- Additional services are charged separately
4.2 Rental Rates Include
- Vehicle rental for the agreed period
- Basic insurance coverage
- Standard mileage allowance (where applicable)
- 24/7 customer support
- Regular maintenance and servicing
4.3 Additional Charges
You may incur additional charges for:
- Fuel (unless chauffeur-driven package includes fuel)
- Excess mileage beyond agreed limits
- Additional drivers
- Child seats or special equipment
- GPS navigation systems
- Late returns (charged hourly or daily)
- Cleaning fees for excessively dirty vehicles
- Toll fees and parking charges
- Traffic violations and fines
- Airport pickup/drop-off fees
- Out-of-area returns
4.4 Payment Terms
- Full payment is due as per the agreed payment schedule
- For self-drive rentals: Payment typically required before vehicle release
- For chauffeur services: Payment options include pre-payment or post-service billing
- Unauthorized credit card use will result in immediate rental termination
4.5 Security Deposit
- A refundable security deposit may be required
- Deposits are held on your credit card and released after vehicle return inspection
- Deductions may be made for damages, violations, or unpaid charges
- Deposit refunds are processed within 7-14 business days
5. Vehicle Pickup and Return
5.1 Pickup Procedure
- Present valid identification and driver’s license
- Provide credit card for security deposit
- Inspect vehicle with our staff and note any pre-existing damage
- Sign the rental agreement
- Receive vehicle keys and documentation
5.2 Vehicle Inspection
- Customers must inspect the vehicle before accepting it
- Report any damages, defects, or issues immediately
- Take photos/videos for your records
- Failure to report pre-existing damage may result in charges
5.3 Return Procedure
- Return vehicle to the agreed location at the specified time
- Vehicle must be returned in the same condition as received
- Fuel level should match pickup level (unless otherwise agreed)
- Remove all personal belongings
- Return all keys, documents, and accessories
- Joint inspection with our staff upon return
5.4 Late Returns
- Grace period: 30 minutes
- Late returns are charged at hourly or daily rates
- Extended delays without notification may be reported as theft
- Contact us immediately if you anticipate a late return
5.5 Early Returns
- Early returns do not entitle you to a refund unless previously agreed
- Notify us in advance of early returns
6. Vehicle Use and Restrictions
6.1 Permitted Use
Vehicles may only be used for:
- Lawful purposes
- Personal or business transportation
- The purposes specified in your rental agreement
6.2 Prohibited Use
You must NOT:
- Use the vehicle while under the influence of alcohol, drugs, or medication that impairs driving
- Allow unauthorized persons to drive the vehicle
- Use the vehicle for racing, competitions, or speed tests
- Use the vehicle for commercial purposes (unless specifically authorized)
- Transport illegal goods, contraband, or hazardous materials
- Overload the vehicle beyond manufacturer specifications
- Use the vehicle for driving instruction or lessons
- Allow the vehicle to be used for criminal activity
- Drive the vehicle outside Sri Lanka without written permission
- Drive on unpaved roads or beaches (except designated off-road vehicles)
- Sublease or rent the vehicle to others
- Tamper with the odometer or any vehicle systems
- Smoke in the vehicle
6.3 Geographic Restrictions
- Vehicles must remain within Sri Lanka unless written permission is obtained
- Certain vehicles may have additional geographic restrictions
- Off-road vehicles have designated permitted areas
6.4 Authorized Drivers
- Only persons listed on the rental agreement may drive the vehicle
- Additional drivers must meet eligibility requirements and be approved
- Additional driver fees may apply
- All drivers must be present at pickup to provide documentation
7. Insurance and Liability
7.1 Included Insurance
Our rental rates include basic insurance coverage:
- Third-party liability insurance
- Collision damage waiver (with excess)
- Theft protection (with excess)
7.2 Customer Liability
You are responsible for:
- Insurance excess/deductible amounts
- Damage resulting from prohibited use
- Damage caused by negligence or reckless driving
- Lost or stolen keys
- Interior damage or excessive soiling
- Damage to tires, wheels, or undercarriage
- Windscreen and glass damage
- Towing and recovery costs due to driver error
7.3 Additional Insurance Options
Optional coverage includes:
- Excess reduction insurance
- Personal accident insurance
- Personal belongings coverage
- Premium protection packages
7.4 Accident Procedure
In case of an accident:
- Ensure safety of all parties
- Contact emergency services if needed (119 for ambulance, 110 for police)

- Obtain police report
- Collect other driver’s information and witness details
- Take photos of damage and scene
- Do not admit fault or liability
- Complete our accident report form
- Do not arrange repairs without our authorization
8. Maintenance and Breakdowns
8.1 Vehicle Maintenance
- All vehicles are maintained to highest standards before rental
- Regular servicing is our responsibility during normal rental periods
8.2 Breakdowns
If the vehicle breaks down:
- Contact us immediately on +94 70 395 3194 (24/7 support)
- Do not attempt repairs yourself
- We will arrange recovery or replacement vehicle
- Breakdown assistance is included in your rental
8.3 Customer Responsibility
You must:
- Check oil, water, and tire pressure regularly
- Monitor warning lights and gauges
- Report any issues immediately
- Not continue driving if vehicle is unsafe
9. Fuel Policy
9.1 Self-Drive Rentals
- Vehicles are provided with a full or specified fuel level
- Return vehicle with the same fuel level
- Refueling charges apply if returned with less fuel
- Refueling fees include fuel cost plus service charge
9.2 Chauffeur-Driven Services
- Fuel may be included in package rates
- Fuel terms will be specified in your booking confirmation
- For long-distance rides, fuel arrangements will be clearly communicated
10. Chauffeur Services
10.1 Professional Drivers
- All chauffeurs are professionally trained and licensed
- Chauffeurs are employed by LuxRide Rental
- Background checks are conducted on all drivers
10.2 Service Standards
Our chauffeurs will:
- Arrive punctually
- Maintain professional conduct
- Drive safely and courteously
- Respect your privacy
- Assist with luggage
- Follow your itinerary
10.3 Customer Conduct
You must:
- Treat chauffeurs with respect
- Not request illegal activities
- Not offer alcohol or drugs to chauffeurs
- Allow reasonable breaks for drivers (legally required)
- Follow chauffeur’s safety instructions
10.4 Gratuities
- Tips are appreciated but not mandatory
- Gratuities are at your discretion
11. Villa Booking Services
11.1 Villa Rentals
- Villa booking services are subject to separate agreements
- Availability and terms vary by property
- Specific villa terms will be provided at booking
11.2 Third-Party Properties
- Some villas may be managed by third parties
- Additional terms and conditions may apply
- Payment and cancellation policies may differ
12. Cancellation and Modifications
12.1 Customer Cancellations
- More than 48 hours before pickup: Full refund or free rescheduling
- 24-48 hours before pickup: 50% cancellation fee
- Less than 24 hours before pickup: 100% cancellation fee
- No-show: Full charge applies
12.2 Modifications
- Changes to bookings subject to availability
- Modification fees may apply for changes within 48 hours
- Upgrades and downgrades are subject to price differences
12.3 Our Right to Cancel
We may cancel your reservation if:
- Vehicle becomes unavailable due to unforeseen circumstances
- You fail to meet eligibility requirements
- Payment is declined or insufficient
- We suspect fraudulent activity
- Force majeure events occur
12.4 Refunds
- Refunds are processed to the original payment method
- Processing time: 7-14 business days
- Refund amount depends on cancellation timing and terms
13. Special Events and Services
13.1 Wedding Services
- Specialized packages available for weddings
- Advance booking recommended (minimum 2 weeks)
- Decoration and special requests subject to additional charges
- Detailed itineraries required in advance
13.2 Corporate Travel
- Corporate accounts available for frequent users
- Monthly billing options for approved corporate clients
- Customized packages for business needs
- Dedicated account management
13.3 Long-Distance Rides
- Quotes provided based on distance and duration
- Overnight charges may apply for multi-day trips
- Accommodation for chauffeurs (if required) is customer’s responsibility

13.4 Photoshoots and Adventures
- Special permissions may be required
- Additional insurance may be necessary
- Specific terms apply to commercial use
- Damage from photoshoot activities is customer’s responsibility
14. Customer Responsibilities
You agree to:
- Provide accurate information during booking
- Comply with all traffic laws and regulations
- Pay all fines, penalties, and violations incurred during rental period
- Maintain vehicle security (lock doors, secure keys)
- Report any damage or incidents immediately
- Return vehicle in clean, acceptable condition
- Not allow pets in the vehicle without prior approval
- Not smoke in any vehicle
- Supervise children at all times
- Pay for any damage to third-party property
15. Traffic Violations and Fines
15.1 Customer Responsibility
- You are responsible for all traffic violations during the rental period
- Fines will be forwarded to you with administrative fee
- Unpaid fines may result in legal action
- Vehicle immobilization costs due to violations are your responsibility
15.2 Administrative Fees
- Processing fee applies to each violation forwarded
- Fee covers administrative costs of managing violation process
16. Data Protection and Privacy
- Your personal information is handled according to our Privacy Policy
- We collect and process data necessary for service provision
- Your data may be shared with authorities as required by law

17. Limitation of Liability
17.1 Our Liability
To the maximum extent permitted by law:
- Our liability is limited to the rental fee paid
- We are not liable for indirect, consequential, or incidental damages
- We are not liable for personal belongings left in vehicles
- We are not liable for delays or changes to your travel plans
17.2 Exceptions
We maintain liability for:
- Gross negligence or willful misconduct
- Personal injury caused by our negligence
- Matters that cannot be excluded by law
17.3 Force Majeure
We are not liable for failure to perform due to:
- Natural disasters
- Government actions or restrictions
- War, terrorism, or civil unrest
- Strikes or labor disputes
- Pandemics or health emergencies
- Other events beyond our reasonable control
18. Indemnification
You agree to indemnify and hold harmless LuxRide Rental, its owners, employees, and agents from:
- Claims arising from your use of the vehicle
- Violations of these Terms
- Negligence or misconduct
- Damage to third parties or property
- Legal fees and costs related to above
19. Intellectual Property
19.1 Our Property
All content on our website, including:
- LuxRide Rental name and logo
- Website design and layout
- Text, images, and graphics
- Software and technology
is owned by or licensed to LuxRide Rental and protected by intellectual property laws.
19.2 Restrictions
You may not:
- Reproduce, distribute, or modify our content without permission
- Use our trademarks or branding without authorization
- Reverse engineer any technology
- Create derivative works
20. Newsletter and Marketing
20.1 Subscription

- Waiver of one breach does not waive subsequent breaches
